LMDP – Office Manager

Salary: $26.45 to $31.74 hourly

L+M Development Partners LLC (LMDP), is an established residential developer/builder/manager, has an excellent opportunity for an Office Manager to oversee the team and environment in our 2 Park Ave location. This position is responsible for managing an environment that is conducive for the fulfillment of the company’s Mission, Vision, and Values.

The primary function of the Office Manager is to manage the office space in such a way that creates better access, flow, and functionality for all employees. S/He manages the direction of daily activities and coordinates business operations to ensure efficient system execution and expense control.

Areas of Responsibility:

Front Desk

  • Manage the front desk by greeting all visitors, staff, vendors, and service providers, and answering the phone.
  • Handle all incoming mail for in office distribution, and all outgoing mail for USPS and FedEx.
  • Manage office supplies and equipment in the forms of purchase, inventory, lease agreements, vendor contract negotiation, and maintenance.
  • Manage expense reporting for assigned leadership team and obtain signatures.
  • Maintain Office Administration manual and SOPs as procedures and requirements change.
  • Perform notarizations for confidential documents.

General Office Space

  • Monitor and ensure all common areas are clean and orderly. Ensure kitchen, printer stations, storage areas, and conference rooms are adequately stocked with necessary supplies.
  • Manage on-site & off-site storage spaces. Maintain the proper handling and storage of confidential records at off-site storage facility. This includes scheduling pick-up services, organizing appropriately timed purges, e-file management, shredding, and updating the off-site storage facility website.
  • Maintain the “Building & Grounds” by managing the maintenance schedules, any repairs, and any contract or related paperwork.
  • Oversee updates to floorplan, seating changes, and office space repairs.
  • Receive and facilitate furniture related issues and requests.

General Office Support

  • Assist HR in the welcoming and setup of new hires by setting up their office space/desk(s), giving them building access with security pass and keys, and adding the employee’s name to the Outlook address list.
  • Provide event planning assistance and support for meetings, galas, etc. as needed.
  • Assist with ad hoc projects for all departments as needed in support of L+M’s projects and programs.

Key Responsibilities:

  • Provide impeccable customer service type skills toward team, visitors and vendors. This includes being an excellent communicator, friendly, open and empathetic.
  • Perform duties under general supervision and prioritize work independently
  • Work as part of a team to identify solutions and execute projects in a timely manner
  • Demonstrate sensitivity in handling confidential information
  • Financial responsibilities extend to invoice processing, budgeting, etc.
  • Tech savvy and proficient in MS Office Suite, Outlook, OneDrive, SharePoint, DocuSign, etc.
  • Some minor physical exertion to be expected

Position Requirements:

  • High School Diploma required
  • 3+ years of related experience
